Onboarding Your Students: Bulk Add Learners and What Your Students Will See

Students are added to Race Academy through Bulk Add Learners in your Teacher Admin area. For each student you'll need their school email address and a guardian's email address, the guardian email is essential, because parental permission must be granted before we can process a child's data. This article covers adding students, keeping an eye on your licence count, and what your students experience when they first log in.

 

Before you start

Have ready, for every student:

  • Their school email address
  • A guardian's email address

We recommend adding any additional teachers or support staff first ([Onboarding teachers and staff]), so your staff team is in place before learners are loaded in.

 

Adding students with Bulk Add Learners

  1. Open School Management from the sidebar.
  2. Click on the Team you wish to add students too.
  3. Click on the Learners tab (just under the team name next to Team Settings).
  4. Click on Add Learner or Bulk Add Learners and enter your students' details; school email and guardian email for each.
  5. Watch the licence counter as you go. It shows live how many licences you've used against your school's quota, and it turns red if you go past your allowance. If you need more licences than your quota allows, [contact us / see Ordering & Billing] before adding further students.
  6. Submit your list.

     

The parental permission step

Once a student is added, their guardian automatically receives an email asking them to grant permission for their child's data to be processed. This is a legal requirement, under UK GDPR we must have a parent or guardian's permission before processing a child's personal data.

Students can, access the platform once permission is granted, if permission is refused by the parent they will not be able to take part. If permission is not granted by mistake, please contact support@espireeducation.co.uk.

What your students will see at first login

It's worth knowing what the student experience looks like so you can guide them through it:

  1. EDI questions — If permission is granted by the parent/guardian for EDI information, students are asked to complete a short set of equality, diversity and inclusion questions. This is options; and students can participate even if special category data consent is not given.

     
  2. Character selection — students choose and personalise their racing character. This is the fun bit, and it's how they'll appear on the platform.

After that, they land in the platform proper, with access to whatever modules you've assigned ([Assigning modules]). Provided the kart-kit self-certification has been completed.

 

Troubleshooting

  • Guardian hasn't received the email — ask them to check spam/junk first; the sender is [address]. You can [resend the permission email from Student Management].
  • A student's details were entered wrong — see [Managing your students] for editing and resetting accounts.
