Managing Your Students: Roles, Passwords, Deleting Accounts, and Viewing As A Student

Day-to-day student administration happens in the Learners tab of each team. To find your teams, open the hamburger menu and click the team name under the Teams section of the menu. From here you can change a student's role, reset their password, delete an account, and usefully, see the platform exactly as a student sees it.

 

Changing a student's role

Students can hold different roles within your team [e.g. driver, engineer, marketeer and designer]. To change a role:

  1. Find the student in the Learners tab of your team.
  2. Select their account by clicking the Profile button in actions.
  3. In the quick actions panel on their profile, under the title Learner Role change their role in the drop down menu to the new preferred role.
  4. Role changes take effect immediately. Note that role-specific lessons follow the role, so changing a student's role changes what learning is relevant to them.

     

Resetting a student's password

  1. Find the student's account on the Learners tab of the Team, and select Manage in the actions section.
  2. Select Update Password, type in the new password and select Update Password again.
  3. The reset happens immediately. You’ll need to notify the student of their password change.

    This is one of the most common admin tasks, worth showing any Team Support colleagues how to do it.

 

Deleting a student account

Deleting removes the student's account and their data. Deletion is permanent and cannot be undone, there is no recycle bin. Only delete when you're certain: typically when a student has left the school or the programme.

If you just want to try the button out to see what happens, don't use a real student's account, create a throwaway test learner and delete that instead.

  1. To delete a student, find the student's account on the Learners tab of the Team, and select Manage in the actions section.
  2. Click on Delete Student. This action cannot be undone.

 

Impersonating Students (Viewing the platform as a student)

The impersonation feature lets you open the platform from a student's perspective — you see exactly what they see: their assigned modules, their progress, their character. It's the cleanest way to:

  • Understand what learners actually experience before you brief them
  • Troubleshoot "I can't see the module" queries without leaning over a student's shoulder
  • Check what an assigned module looks like from the receiving end

To impersonate a student, you'll find it on the student's record in the Learners tab of your team:

Find the student's account on the Learners tab of the Team, and select Impersonate in the actions section.

  1. When impersomnating you’ll see a white banner at the top of your screen with the message: “Viewing as [students email address] from admin [your email address]”
  2. To return to your profile click the Exit Impersonation button on the white banner at the top of the screen.


 

Learner Profile - In addition to the above, other actions available on the learner profile page are:

  • Resend consent email - If a parent is struggling to find the original consent email or it has expired, you can resend the consent email from the learners profile.
  • Change students first name, last name and email address.
  • View complete/incomplete modules and assignments.
  • View more detailed performance metrics including total points, module completion %, team rank, school rank.
