If you have any GDPR concerns:
From a data protection perspective, our approach is based on Legitimate Interests, under Article 6(1)(f) of UK GDPR. The sole purpose of contacting parents is to issue the mandatory Parental Consent form, and where relevant the Medical Declaration form, required for students to participate in the STEM On Track programme. Contact is limited to this single point of communication only, with no marketing, no ongoing communication, and no onward sharing of the email address with any third party.
Parents should reasonably expect to be contacted directly where consent is required for their child's participation, and we only process the minimum data necessary; an email address. This data is retained only for the duration of the academic year, after which it is securely deleted.
If, having read the above, you still feel more comfortable checking with parents first, that's completely understandable; a small delay is no problem at all in order to make sure everything is done in a way you're comfortable with.
Just to clarify the two forms separately: the Parental Consent form is required for all participating students; the Medical Declaration form is only requested later in the year, and only for students who may potentially drive the go-kart at our on-track events.
Unfortunately, without these completed, we cannot proceed with the student's involvement in the programme; this is simply a compliance matter for us to be able to run the programme safely and properly.
